Use your own files in Raiana Enterprise

Raiana Enterprise lets you include files from your organization’s secure file environment in chat queries. The files are stored on a secure server in the Amazon cloud and are converted into an AI-readable format during upload so that Raiana can process them efficiently when answering questions. Before you begin, make sure that the files you want to use are in a supported format: PDF, Word, or Excel.

Open the file selector

In the Raiana chat interface, select the paper clip icon to open the file selector. The selector displays an overview of the directories available in your Raiana Enterprise environment. If your environment does not yet contain a suitable directory, you can create one from this interface before uploading files.

Create a directory

If you need a new location for your files, choose the option to create a directory and enter a clear name, such as the device name or a set of regulations. Confirm the name to create the directory. The new directory opens automatically, allowing you to upload files into it and keep related regulatory or product documentation together.

Upload files

Inside the selected directory, choose the upload control and browse your computer’s hard drive. Select one or more PDF, Word, or Excel files, then confirm the selection to start the upload. You can select an individual file, several files at once, or an entire directory. During upload, Raiana converts each file into a format that its AI can read. Afterward, the interface displays a success message when the upload is accepted. If you select an unsupported file type, Raiana displays an error instead; use one of the supported formats and upload it again.

Select files for a chat question

After files are available in a directory, use the paper clip icon again and select the file or files that should inform your question. You can select more than one file, select an entire directory by selecting the directory itself, and select files from multiple directories at the same time. Close the selector when your choices are complete. The paper clip changes to light blue when files are attached to the query. Hover over the light-blue paper clip to see the selected files and remove individual files if you need to change the source material before asking your question.

Ask a question about selected files

With the relevant files selected, enter your question in the chat and submit it. In the reasoning summary, Raiana indicates how many selected files it is searching, such as “searching one file.” The summary can also indicate that Raiana is retrieving additional documents. Review the resulting answer and its extracted claims in the context of the file you provided.

Change selections between questions

You can deselect a file at any time, select additional files, or select an entire directory in one operation. Files from different directories can remain selected together; for example, the selected sources may include both a claim presentation and an EU Machinery Regulation document. Hover over the paper clip to review the current list and remove files as needed. Adjust the selection for each question so that the answer is based on the appropriate combination of company, product, and regulatory information.

Use files through Projects

Files can also be added from Projects. Open the relevant project and use its file control to open the same file-selection dialog used in chat. The interface and selection steps are the same: choose individual files or a directory, then adjust the selection as required. In the demonstrated Photon Tomo CT project, the project selects all files in that project’s directory, allowing the project’s complete file set to be used together.

Manage files

In the files interface, select a file you no longer need and choose the delete action. Raiana displays a warning dialog asking you to confirm that you really want to delete the file; confirm only when you are sure it should be removed. This deletion action applies to the selected file rather than automatically deleting the whole directory. Use the view icon beside the delete icon when you need to inspect an uploaded file quickly. Raiana opens a preview of the file so you can verify its contents, and you can return to the files interface afterward. For security reasons, files cannot be downloaded from this interface; use the preview only for on-screen review.

Rename or delete a directory

When a directory name is unclear or no longer appropriate, use the directory management controls to rename it and provide a clearer name. You can also delete the entire directory in one operation when it is no longer needed. Review the directory action carefully before confirming, because this operation applies to the directory as a whole rather than only to one selected file.
